When the finance workload outgrows your setup
The need often arises when more tasks have to work together. You hire employees, customers pay through different platforms, and management needs explanations for variances. Your bookkeeping may be up to date while you still lack a clear view of next month’s cash requirements or figures that provide a useful basis for your budget.
A particular headcount is not the deciding factor. Consider the time finance work takes, the skills you already have and the questions that remain unanswered. A more integrated service becomes relevant when you need the records, the checks and the decisions to connect.
What can an outsourced finance function cover?
We work with both ongoing accounting tasks and the financial insight behind them. The engagement defines which parts we handle, which stay in-house and how often you need reporting. Our services overview explains the individual areas.
- Operations: bookkeeping, accounts receivable and payable, invoicing, payroll processing and relevant filings as agreed.
- Controls: reconciliations and reviews covering bank accounts, VAT, payroll and items recognised across accounting periods.
- Reporting: an overview of profit and loss, costs and cash flow, with comparisons against budgets or earlier periods.
- Advice: chart of accounts design, budgets, forecasting and financial analysis for management, boards or investors.
An item on this list is not automatically included. If you need a new budget model, investor reporting or work on earlier accounting periods, include that in the scope discussion. This makes it easier to compare your requirements, the proposed work and the price.
Targeted support, an integrated service or an internal hire?
Targeted support can work when someone already handles finance internally but needs capacity for payroll, reconciliations or reporting. Clear boundaries between your work and ours help prevent duplication and gaps.
An integrated external service may suit a business where tasks are spread across the director, several employees and multiple systems. If you need substantial day-to-day finance leadership within the business, an internal hire may be the right choice. Your needs come first; outsourcing is not an end in itself or a guarantee of a lower total cost.
Make responsibilities clear
You know the purchases, employees and agreements behind the numbers. We need that information to keep meaningful records and reports. We therefore agree who in your business answers questions, supplies documents, reports payroll changes and approves transactions that need your decision.
- You provide business information and tell us about changes that affect the accounts.
- We carry out and check the agreed finance tasks using the available records.
- Together, we agree input deadlines, reporting requirements and follow-up on open questions.
- Management uses the reports and makes decisions about operations and priorities.
Systems that support the work
We work with e-conomic and integrations involving Pleo, Corpay One, Stripe and Shopify, among other systems. Payroll can be processed through Danløn or Zenegy. The setup should bring supporting documents, payments and payroll data into the accounts in a structure that can be checked and used for reporting.
Automation still needs oversight. We look at who approves purchases, follows up on missing documents and investigates differences between systems. Our pages on automation and controlling and reporting explain how those tasks connect.
Working with your auditor
Well-maintained books provide a stronger basis for year-end. We work with your auditor on the underlying accounting records. Clarify who handles the annual report, any audit and specific tax assessments. These responsibilities should be assigned clearly so everyone knows their role at year-end.
Discuss your finance function with us
Tell us about your current systems, employees, internal resources and reporting needs. Explain which task is taking most of your attention. That gives us a basis for discussing a suitable division of work. Read about pricing and engagement, or contact us for a no-obligation conversation.
